Happy New Year!
I would like to wish everyone a Happy New Year for 2018! Our Chapter just completed its first full year and is looking to build upon is success this upcoming year. The Education Committee has been busy working on its schedule of webinars for the first half of 2018, and should have this information out shortly. We will again be planning quarterly webinars for our members.
If you are looking for additional training, please take a look to our national purchasing organization, NIGP.com. They offer monthly webinars for NIGP members as well as a wide range of online and in person procurement training. In addition, I recently saw that NIGP coursework is now being recognized by Norwich University for award of college credit towards degree and certification programs. Rick Grimm, NIGP CEO is scheduled to present our next webinar and I look forward to hearing on how NIGP continues to positively represents procurement professionals.
If one of your new year resolutions is to get more involved in your profession, please give me a call or send me an email and we can talk. My goal is to get you involved based on your interests and time availability. Getting to know the different procurement professionals in Hawaii and Alaska while working together has been probably the best part of AHGPA and I am hopeful more members take advantage of this opportunity in 2018!
As this is my second and final year as President, I look forward to serving the members and providing professional development opportunities and information to the members. If you have any ideas or suggestions for the Chapter, please give me a call or send me an email. I look forward to building upon the successes of the first year so AHGPA will be a resource for your professional career and your success.

Happy New Year from the Alaska Hawaii Governmental Procurement Association! As the AHGPA Treasurer, I think it’s about time that we gave you, our membership, an explanation as to what the budget looks like and how your dues money is spent. As I write this, we are in the midst of our dues renewal process, and I would like to thank everyone who has already renewed their membership or will renew their membership shortly. Much appreciated!
After the AHGPA chapter was initially organized, determining the dues amount was one of our initial tasks. Estimating expenses was the easiest part, at least once we figured out what we needed. As a virtual chapter, webinar software is a necessity. In the first year, we used “Web Ex” software which cost us $600.00 per year. In order to reduce expenses, this year we are trying out “Join Me” software which costs $162.24 per year. The jury is still out on if this will work for us.
The largest annual expense of $1,090.00 per year is the software maintenance cost for our internet software platform, which is provided by a company called Chapter Manager. This company specializes in NIGP chapter software, and includes all of the functionality that we need. When we did our initial research, both the national NIGP organization and numerous regional chapters advised us to purchase this software. In fact, the national Chapter gave us initial seed money of $5,500.00 in our first year, which allowed us to purchase this software and also provided for some other organizational expenses.
Another expense is a payment that we have to make, as an NIGP chapter, is to the national NIGP association of $8.00/year for AKGPA members who are not also members of the national NIGP chapter. This is the first year that we have this payment, and I can’t give you a precise number as to what this is going to cost yet as of this writing. Our conservative budget is for $480.00.
Other ongoing expenses include paying a Delaware Business Registration Annual Fee of $75.00. Yes, we are incorporated in Delaware because it was cheap! And the free attorneys provided by the NIGP national chapter to do all of our incorporation work recommended it. We also pay an annual Hawaii business registration fee of $25.00, and we also provide small speaker gifts such as chocolate or coffee from Hawaii for our quarterly speakers who donate their time and money. We’re hoping that Alaska will step up with some Caribou jerky for a future thank you gift! Is there such a thing? O.K., maybe some smoked salmon instead.
Determining the revenue side of our budget equation was a more difficult task. Trying to figure out how many members we might have was less than an exact science. The first thing we did was to do an informal survey of interest, and then we took that information and tried to conservatively project out potential membership. The next thing we did was look at what our various sister chapters were charging around the country, and we found out that the range was $25.00 -$45.00 per year. After looking at various “what if” scenarios for revenue and expense projections, the board met and we decided that we could survive on a $25.00 dues fee for at least a couple of years if our projection of 78 members was met. Our goal was and still is to charge the least amount of dues that we can with the goal of getting as many people involved. Fortunately, we slightly exceeded our projection and we currently have approximately 90 members.
Our projected revenues for 2018 is $2,250, and our projected expenses for 2018 is $1,932.24, leaving us a small buffer. We also have about $2,100 remaining in the bank from some extra revenue, the seed money we received, and a donation of $1,000 from one of our sister chapters in Florida. Since we are still not sure what our long term sustainable membership might be, as your treasurer I will always push the board to have sufficient reserves in the bank to cover us for at least a year in advance. Also, it is a goal of the board to pay back the seed money that we received sometime in the future if possible.
If your eyes are glossed over from reading all of this detail, don’t worry! I have only one takeaway for you: Your dues are paying for our infrastructure and our ongoing existence. Your dues are not paying for content. Content is provided by the speakers that we line up, and the numerous people that volunteer their time and energy to this organization. Use our infrastructure and contribute when you can! Thank you again for being a member of the AHGPA. Aloha!
