Happy New Year!
Happy New Year! Welcome to 2018. It almost seems unreal that we have “blinked” and another year has sped right by. As is often the case - the end of the year becomes a time filled with many emotions for so many…. but perhaps most of all – a feeling of not being able to get everything accomplished as we are heading towards the finish line. In the business world – for most of us - it’s the End of Year/End of Quarter with many deadlines imposed, action items to accomplish, strategy and goals to be defined for the coming year, and keeping our current business plans in line. In our personal lives, it’s filled with “To Do Lists” a mile long as we prepare for holidays, vacations/travel plans, family gatherings, and keeping our personal lives on track. In many ways – our professional lives and our personal lives mirror what is taking place in the world of Information Governance, Information Technology, and Records & Information Management. The pace at which all of these areas are moving seem almost impossible to stay on top of as professionals. At times, it truly feels like there is no rest for the weary and we wonder how are we ever going to stay abreast of all of the trends and changes as they keep morphing so rapidly. This is where our ARMA of NJ Chapter can help with alleviating some of the stress associated with the “keeping of with the Jones’s” syndrome. We offer so many varied programs to expand your horizons with trending technologies and practical application of Information Governance concepts to your RIM toolkit. And the complexion of our NJ Chapter Membership is so varied and rich in depth when it comes to the wide array of experience levels, roles, vertical markets and technology realms that it results in our networking events providing a true benefit to those who choose to attend and leverage those connections. As we get ready to put those New Year Resolutions for 2018 into action, we invite you to add “attending an ARMA-NJ programming or participating more actively in the Chapter” to that resolutions list. You’ll find that in doing so – you will be able to target both your professional development and personal development resolutions! One more thing to check off of that “To Do List!” As we reflect upon the year that just wrapped up and the new year that is beginning,, we are grateful for all of the ARMA-NJ Team, Chapter & Board Members who contribute their extraordinarily valuable time, talent and treasure towards making our chapter be so successful. Congratulations to the Lyons family on their newest addition, Ellie Rose! Chapter member and past board member Shaun Lyon's announced the birth of his baby girl on October 12th. Shaun has served as our chapter's VP of Membership and if you've recently joined or attended chapter meetings you were most likely greeted by him. Shaun is a Customer Development Executive with Iron Mountain working with clients in NY and NJ. In addition to being a Records Management expert, he is a proud father of twin 10 year old's Lilianne and Thomas. In his spare time, Shaun enjoys playing on a volleyball team and an avid fan of live rock music. We wish Shaun and his family the best of luck and hope they are getting some sleep!

ARMA NJ Chapter President, Ann Gorr recently earned her IGP certification. It comes as no surprise that Ann aced the exam on the first try since she works as an independent Legal Technology Consultant and subject matter expert providing specialized professional advisory services for law firms and corporate legal departments and regularly presents on the topic throughout the tri-state area. Ann has been very involved with ARMA, ILTA and numerous other organizations during her career, having served as chapter President and other roles. Our board congratulates Ann and wishes her continued success!

A Chapter Leader Profile
BJ Johnson lives, sleeps and dreams about information. Some say he was born in a records center. He is frequently sighted at RIM and IG conferences speaking on a variety of topics as a subject matter expert or working the expo floor. Nobody knows what "BJ" is short for but he sure knows his stuff. BJ Johnson is our chapter VP of Sponsor Relations and has been an active member of ARMA NJ for over 5 years.He currently serves as Senior Specialist of Digital Solutions and Marketing for Access Information Management based out of Fairfield NJ. We wanted to learn more about this Records Management man of mystery and sent him some questions. Learn more about BJ and meet him at our upcoming meetings. Drinks are on him. What led you to this profession? Prior to my 17 years in information management I spent most of my career in logistics and operations. I’ve managed support and account management groups as well as pick-pack operations for companies including Marvel Entertainment and Barnes & Noble. My introduction to the records and information management profession started when I joined Archive Systems. The entrepreneurial spirit of the Archive Systems leadership team and the opportunity to be part of a group creating new solutions to advance document oriented processes was something I could not pass up. I consider myself to be student for life so the opportunity to learn about the RIM profession and industry was also very appealing. What prompted you to join ARMA International? I was bamboozled by an ARMA NJ board member who will remain nameless. I was told that because I regularly attend meetings and did some volunteer work I was expected to become an ARMA international member, so I did. Never thought I’d enjoy being bamboozled J All kidding aside, the educational content from ARMA and knowledge shared by IG and RIM professionals in my chapter is an important part of my continuing education. What do you enjoy most about the information governance or records management profession? The people I’ve met and learned from, and exposure to so many different businesses. That is part of the fun being a vendor serving a market or profession. What would you consider to be your career highlight or greatest success (e.g., a project or designation)? I lead a project to transform processes for one of our largest clients. It was a very successful project allowing that client to reduce costs and improve compliance, security and efficiency. The friendships I’ve developed with that client is the reason I view this as one of my career highlights. Do you or did you have a mentor who has helped you in the information governance or records management fields? The founders of Archive Systems were my mentors early in my career, but I now consider my ARMA NJ members and people in my professional network to be my mentors. What is your best memory of an ARMA International experience? Volunteer work by our chapter to plant trees at Duke Farms. What advice would you give to an individual considering information governance as a career? Join an ARMA NJ chapter and develop a network of IG and RIM professionals that can serve as mentors and aid in continual learning. What has been the most valuable aspect of your membership with ARMA? Same as an earlier question, the people I’ve met and relationships I’ve developed. What do you do for fun? Bicycling, zip-lining and landscaping. Anything that gets me outside. What is your favorite place to visit? Right now it is a tie between the Hawaiian islands and Aruba. Yes, I love beaches! What are your favorite movies? Blade Runner (both versions) and the Dark Knight What is your favorite quote? Michelangelo - “The greater danger for most of us lies not in setting our aim too high and falling short; but in setting our aim too low, and achieving our mark.”

GDPR;
The General Data Protection Regulation (GDPR) continues to be a hotly debated topic that is forcing organizations to up their security and compliance game or face dissuasively large fines. Companies with strong information governance programs that include information security audits and ongoing security program development will have a solid foundation of policies, controls and practices to build on as they work towards GDPR compliance. For organizations struggling with understanding GDPR, there’s a number of quality resources available at no cost but let’s first review the basics. The What GDPR is a European Union regulation that protects the personal data of those residing in the EU and seeks to unify privacy laws across the EU member countries. Published in May of 2016, GDPR immediately became law in all EU member countries once it was published and is scheduled to be enforced on May 25, 2018. The General Data Protection Regulation differs from EU Directives in that it’s a regulation and as such, is implemented verbatim to ensure consistency across all EU member countries. EU Directives involve each country interpreting these directives into their own laws. The Who GDPR focuses on protecting the data and the privacy of the individual which means the personal data of EU citizens is protected regardless of whether the data controller and or processor is located outside of EU jurisdiction. If a company touches the personal data of those residing in the EU, then that organization needs to protect the personal data and privacy of those individuals as per the GDPR. It’s also important to note that US citizens living in the EU are protected under GDPR but EU citizens who live and work outside of the EU are not. The How Article 32 gives the General Data Protection Regulation more teeth than other rules and requirements governing the privacy and security of personal data. It’s driving organizations to adopt stronger security baselines and to implement more effective practices around protecting personal data. This includes the requirement for data controllers, data processors and their relevant third-party vendors to implement processes for regularly testing, assessing and evaluating the effectiveness of technical and organizational measures for ensuring the security of the processes. Under GDPR, responsibility is shared by data controllers, data processors and relevant third-party vendors. This is pushing impacted organizations to expend significant effort and requires a more adaptable, agile approach to managing an organization's Security Program. Budget constrained IT organizations will need to explore more lean approaches to cybersecurity and improve their security posture through small, steady changes by tapping into and adopting a continuous improvement approach to cyber security. ARTICLE 32: Security of Personal Data - Security of Processing a) The pseudonymization and encryption of personal data; b) The ability to ensure the ongoing confidentiality, integrity, availability, and resilience of processing systems and services; c) The ability to restore the availability and access to personal data in a timely manner in the event of a physical or technical incident; d) A process for regularly testing, assessing and evaluating the effectiveness of technical and organizational measures for ensuring the security of the processing. As the date for GDPR enforcement fast approaches, it’s important for organizations to avoid GDPR analysis paralysis. There’s a number of free and complimentary resources available to help companies with limited budget get started with GDPR. Every year, ARMA NJ awards a chapter member and a chapter leader for their involvement and contributions over the course of the year. These individuals are recognized for their efforts, serving on the board as well as their attendance and involvement at our meetings and events. The selection is decided by a vote during the chapter election, announced at our chapter meetings as well as by ARMA International at the national conference. This year, the 2017 Chapter Leader of the Year vote resulted in a tie and was awarded to both Chapter President, Ann Gorr, IGP and Director, Seth Beim, CRM. The Chapter Member of the year was awarded to chapter historian, Tony Abbate.

Mary Hamm
If you want to know anything about Records Management, call Mary. She is one of our chapter's RIM and IG experts with a CRM, IGP and ERMP under her belt. Mary is the National Information Governance Manager for Drinker, Biddle & Reath LLP. She has served on our board for over 6 years in a few roles including Executive VP and VP Sponsor Relations. We sent Mary some questions to answer for our Chapter Leader Profile series. What led you to this profession? I have worked in the Legal Industry in a variety of administrative roles but was approached by a former manager to accept the Records Supervisor role for Drinker’s Florham Park and New York City offices and eventually accepted firmwide responsibilities as that position became available. What prompted you to join ARMA International? The opportunity for professional development and to network with my peers. What do you enjoy most about the information governance or records management profession? The opportunity to put order into chaos and provide essential information to internal and external clients in an effective manner. What would you consider to be your career highlight or greatest success (e.g., a project or designation)? From a career perspective: coordinating the integration of physical and electronic records and information resulting from various firm mergers and lateral attorney acquisitions which have been a part of Drinker Biddle’s growth. Do you or did you have a mentor who has helped you in the information governance or records management fields? Our Director of Information Governance-Brian McCauley What is your best memory of an ARMA International experience? Attending conferences where I can enjoy the company of my peers in a learning environment What advice would you give to an individual considering information governance as a career? Take advantage of all the learning opportunities that are available. What has been the most valuable aspect of your membership with ARMA? The opportunity to meet with colleagues and share ideas What do you do for fun? Spend time with my family What is your favorite place to visit? DisneyWorld What are your favorite movies? Jennifer Anderson has been a familiar face at our chapter meetings for years, often attending the sessions that apply to her Records program or topics of interest. She currently serves as an Associate Director of Compliance and Risk Management for Merck in Rahway. She has been an ARMA member for over 17 years and attended many of our chapter meetings. If you see her at our upcoming meetings, be sure to congratulate her on her recent service anniversary! Please provide a brief history of your work experience. What led you to this profession? I celebrated 45 years of service at Merck on December 1st. My first position was a secretary in the corporate division. I later moved into the Research division holding several positions with responsibility for the laboratory notebook disaster program, publishing scientific and research publications and managing records center operations. In 2010 I was transferred into the Information Technology organization where I had positions managing the record center operations and the global records management program. My current responsibilities include maintaining the company records retention schedule and providing policy and best practices pertaining to records and information management. The experience and knowledge I gained in the records and information management area led me to the records management profession. What prompted you to join ARMA International? My manager encouraged me to join ARMA International. Do you or did you have a mentor who has helped you in the information governance or records management fields? My most important mentors have been Jacqueline Algon and Marian Ellis who trusted, guided and allowed me the opportunity to grow into this field. They always provided honest and positive feedback in areas where I needed to improve. Former colleague Judith Schwartz mentored me to be her backup where I trained with her for several months. What advice would you give to an individual considering information governance as a career? As the profession becomes challenging with stricter laws and regulations and technology constantly changing at a rapid pace, I would advise individuals to network with records managers and IG experts and find a mentor who believes in the value of the profession and become as knowledgeable as possible. What has been the most valuable aspect of your membership with ARMA? Attending ARMA chapter meetings with members working in the same profession allows me the opportunity to hear similar experiences and build a personal network. The online webinars have provided me with learning opportunities to enhance and build on in this profession. What do you do for fun? Attending jazz festivals and Broadway plays with my girlfriends What is your favorite place to visit? Caribbean Islands What is your favorite quote? “Success is not the key to happiness. Happiness is the key to success. If you love what you are doing you will be successful.”

Join us on April 18th at Microsoft in Iselin NJ for an educational workshop focused on creating records retention schedules. The Retention Program Development Workshop is an ARMA Certificate course for developing a records retention schedule or revising an existing one. A detailed methodology is presented in 10 steps to help participants learn to schedule both analog and electronic records using project management techniques. The program utilizes a case study to illustrate learning points and includes sample forms and concrete illustrations. Following the workshop, the ARMA-NJ Chapter will be holding a cocktail networking reception from 5pm until 7PM. This education location is an easy to access environment located only a couple of blocks from the NJ Transit/Amtrak Train Station at MetroPark. As always, we are grateful to the Microsoft Team for allowing us to use their facilities . We hope you can join us! the workshop and/or the networking event.

Chapter Library Studying for the CRM or IGP? Working on a project and need some help catching up on RIM fundamentals? ARMA NJ has one of the largest Records Management libraries out of all the ARMA chapters is growing every year. Currently housed at the Celgene corporation in Summit and managed by past chapter President Lori Green, over 150 RIM related books, periodicals and other resources are available to borrow at no cost to our members. CRM candidates will find a large number of helpful info for their studies. To check out our holdings and place a request, visit our website library page. ARMA NJ Gives Back Beginning in 2015, our chapter began collecting donations for a number of local charities and organizations. For our upcoming January meeting we will be collecting business clothing and accessories for “Dress For Success” of Morris County. More details, be sure to check the ARMA-NJ website and email announcements about the upcoming January Professional Development event. Please save your suits, blouses, slacks, blazers, shoes, etc for this worthy charity.
Volunteers Needed We LOVE our volunteers. We are grateful for everyone who helps us. However, we are always in need of people to help us throughout the year with various events and initiatives. The Chapter maintains a number of “standing” committees and participation is open to everyone. If you’re interested in getting your toe wet – that is just getting a little involved – a committee volunteer is the way to go.
