As the second of the two core elements of the ONCE initiative the Catholic education Student Information System (CeSIS) is being developed on behalf of CEnet Member Dioceses to deliver benefits for students, parents, teachers and administrators.
Readers who have been following the progress of this service will note the addition of CeFMS. From the very early stages of the project, it was recognized that the best solution to meet the needs of Member Dioceses would be one that acknowledges the unique capabilities of both a student information and financial management systems. To benefit from this understanding, the decision was made to develop a solution that integrates two specialist products to meet the of needs of learning and teaching, administration and finance staff in Member Dioceses.
Welcome to the latest edition of the the ONCE newsletter. This edition comes at an exciting time in the evolution of the ONCE initiative as it coincides with the launch of the CeSIS & CeFMS Pilot in three Member Dioceses.
ONCE is a comprehensive information management system identified by Directors of Education in Member Diocese to open up new opportunities to enhance learning and teaching. There are two core elements of the ONCE initiative, the Catholic Education Data Driven Decision-making project (CeD3) and the Student Information System and Financial Management System (CeSIS & CeFMS).

CeSIS & CeFMS
Welcome to the April 2016 edition of
The ONCE Project Newsletter
During 2015, three Member Diocese were identified to participate in the CeSIS & CeFMS Pilot Program.
The participation of these dioceses will benefit all Member Dioceses by providing valuable insights to the implementation process and an opportunity to document procedures developed from the experience.
The Member Dioceses participating in this important and exciting program are:
Shortly after the CEnet Board approved the Pilot, these Member Dioceses commenced a comprehensive planning process with CEnet.
Each participating Member Diocese has appointed a number of staff to the implementation process including a Project Manager and key Subject Matter Experts.
CEnet and the Project Managers in Pilot Dioceses have worked closely to coordinate activities and Project Managers have been able to provide each other with insights to inform activities with the schools in their dioceses that will be involved in the project.
A mixture of primary and secondary schools are involved in the process, to ensure that the unique activities of both are accommodated.
The resulting service seamlessly integrates a powerful student information system configured to meet the needs of contemporary learning and teaching organizations with a sophisticated financial management system designed to meet the requirements of finance and administration.
The CeSIS & CeFMS service will provide staff in Member Dioceses with a single, web browser - based tool to support their activities and will provide the flexibility, where required, for financial services staff to access the specialist features required to meet the demands of their roles.

Execution Phase and Pilots
The Catholic Education Data Driven Decision-making service, CeD3 transitioned into a production service in the second half of 2015.
Since this time, Member Dioceses have been busy preparing and migrating data to the service . A number have competed this process and are now able to take advantage of the benefits that CeD3 provides and to start considering the data required to take additional advantage of the powerful analytic tools that it provides.
If your diocese is not yet taking advantage of the CeD3 service, and you are interested in gaining access to CeD3, in the first instance, access requests should be directed to the relevant diocesan service desks and where appropriate, the diocesan service desks will be able to escalate any requests to CEnet's service desk directly.
CEnet has a team of data experts available to assist Member Dioceses with preparation for migration of data to the CeD 3 service.
Service desk details are available in the CeD3 website.

GETTING STARTED WITH CeD3
The CeD3 service includes a powerful tool designed assist in developing new insights by combining data that originated from a variety of sources and now residing within the data warehouse.
While this tool is designed for ease of use, CEnet has developed a number of short video tutorials to assist in getting started.
The first of these tutorials provides an overview of the tool and how to manipulate data.

THE CeD3 DATA TRUSTEE COMMITTEE
To ensure that the service continues to develop to meet the evolving needs of education and administration users, a data trustee committee has been formed.
The Data Trustee Committee has representation from all CEnet Member Dioceses and is responsible for decisions relating to proposals for changes and enhancements to the CeD3 data warehouse service.
A full list of members is provided in the left column of this page.
If you have a need for a particular report or inclusion, talk to your data trustee representative. The Data Trustees Group will collect needs and requirements and will use these to determine advice to CEnet on activities required to meet needs.
As the data originating in dioceses and stored in the system grows, and the requests directed through the Data Trustee Group for reports are met, the library of reports will develop into a rich source of information that will be available to inform learning and teaching activities.
