Welcome! We invite you to our new education focused programs this year! Your Board of Directors has been working on overdrive in the past several months and we have so much to share with you! We hope that all of the exciting and innovative events that are on the horizon entice you to join us! The theme of the recent ARMA Live! International Conference which took place in Orlando in October was to encourage RIM and IG practitioners to become “AGENTS OF CHANGE”. Be assured that the New Jersey Chapter is indeed focusing on bringing about change in the Information Governance and RIM realms within our Garden State. We are changing our chapter name to ARMA NJ to accurately reflect the scope of our members who live and work throughout the entire state. There are lots of details involved in the re-branding process – but we think that it’s important that we bring about this change and unify our team! We’re changing and adapting our educational programming to ensure that we align ourselves with the evolving standards and career paths within RIM and IG by delivering professional development topics centering on changes impacting all of us relating to GDPR, Cyber Security & Risk, CRM Preparation and Retention Program Development. ARMA International has asked us to host the North East Regional Conference in June, and we will be welcoming ARMA leadership and regional chapter leaders to Princeton in June. In conjunction, and leading the charge with change – ARMA-NJ is especially pleased to announce that we will be presenting a completely new innovative, future-oriented all day educational RIM/IG event on June 14th on the impressive campus at Princeton University. Your Board of Directors is busy designing forward-facing educational sessions, rich in content and featuring national-level speakers and educators on RIM, IG, and Professional Development trending topics. Definitely a “don’t miss this one” event! But – we’re not “all work and no play” here at ARMA-NJ! We also have several unique networking events planned including one in March at the Morris Museum! And keep in mind – every one of our professional development events includes dinner, cocktails, and networking opportunities. Many job offers have come from an introduction and conversation started at a chapter meeting! We encourage you to expand your horizons and step out of your comfort zone by attending some of the upcoming events. Check our website about upcoming events and status updates on some of our new endeavors and undertakings. (We’re even in the process of updating & changing our website design!) After nearly 30 years, the ARMA Central New Jersey chapter is no longer in effect. Nearly 50 remaining chapter members were moved under the former Northern New Jersey chapter and personally welcomed by chapter Co-President Ann Gorr. For the first time, the NJ chapter now covers all of NJ which offers several benefits as well as some new challenges including meeting locations.Since the NJ chapters were combined, some meetings have been held further south in the CNJ's prior territory which primarily met in Princeton.
Chapter name change - ARMA NJ!
After more than 50 years of serving the Records Management and Information Management/Governance membership, we are evolving and changing the chapter name to more appropriately mirror the fact that we represent our members who work and/or reside throughout the ENTIRE state of New Jersey and not just Northern New Jersey! This evolution requires that we change our charter/bylaws with ARMA International by removing "Northern" from our official chapter title. The question is ~ “How do we want to be branded/recognized/named? Chapter members participated in the decision with ARMA New Jersey selected as the official new name.

No "top challenges" sessions that don't offer solutions, no infomercials, no fluff and no filler allowed. June 14th has been planned to coincide with the ARMA International Leadership conference being hosted by NJ at Princeton University. This all day conference is in the early planning stages but expected to include 3 tracks of RIM / IG related sessions with a focus on the latest and greatest. We are excited to move forward with a diverse lineup of speakers, solutions and educational content. Look for additional details and announcements being sent out in the near future. ARMA NJ Chapter Treasurer recently earned his IGP making it his 2nd career certification. Will earned his CRM a number of years ago .Will currently serves as NJM's Corporate Records Manager and has been working with records and information for over 30 years in both the private and public sector. He has been very involved with ARMA during his career, having served as chapter President and other roles with the Central NJ chapter and the NJ chapter. The European Union’s General Data Protection Regulations (GDPR) applies in 7 months (May 25, 2018). GDPR invalidates the EU-US Data Privacy Shield and other regulations, such as governmental surveillance of companies that must comply with GDPR. Does your organization touch European data as a “data controller” (organization collecting personal data of European subjects) or “data processor” (organization such as cloud provider that collects data on behalf of a data controller)? Are they aware of the penalties for GDPR violations? A warning in writing in cases of first and non-intentional non-compliance, regular periodic data protection audits, a fine up to 10,000,000 EUR or up to 2% of the annual worldwide turnover of the preceding financial year in case of an enterprise, whichever is greater (Article 83, Paragraph 4), a fine up to 20,000,000 EUR or up to 4% of the annual worldwide turnover of the preceding financial year in case of an enterprise, whichever is greater (Article 83, Paragraph 5 and 6). "The proposed new EU data protection regime extends the scope of the EU data protection law to all foreign companies processing data of EU residents. It provides for a harmonization of the data protection regulations throughout the EU, thereby making it easier for non-European companies to comply with these regulations; however, this comes at the cost of a strict data protection compliance regime with severe penalties of up to 4% of worldwide turnover." Tension much? Data Controller and Data Processor organizations must consider the following: Single set of rules and one-stop shop One rule for all countries. One rule for all companies doing business (acting as a data controller) in the EU. Scope Data controllers and data processors, but not EU member governmental law enforcement bodies (who must follow their own Data Protection Directive) nor those ex-EU law enforcement with international agreements in place. Right to erasure The right to be forgotten is a European concept that will require ex-European records Responsibility and accountability Even if your organization does not touch European data, this tenet follows accountability and transparency principles of ARMA’s The Generally Accepted Recordkeeping Principles ®. This is primarily achieved through potentially high penalties (see above) and Data Protection Officers (DPOs) and Records demonstrating compliance with GDPR, such as data controller’s data protection by design and data protection by default in earliest stage of data system lifecycles, e.g. pseudyonymization of data. Records of processing activities Some mention how GDPR can drive development of records management operations. One example of this are records of processing activities as well as GDPR matrix showing your company’s efforts to comply with the new regulations. Pseudonymisation Your organization must decouple personal data from individuals through encryption, anonymization and/or other means in such a way that their identities cannot be reverse engineered. Data protection by Design and by Default Similar to Privacy by Design approach, Data Protection by Design and by Default requires inventorying data, applications and processes across the enterprise. In addition to records inventorying events, retention and disposal schedule audits and refreshes offer an opportunity for records professionals to assist privacy and data risk colleagues to target high-risk information possibly containing PII, PHI or PCI data. Records professionals also can offer data handling guidance left less specific in the GDPR guidance. Note: European Commission’s Article 29 Working Party is working to create more specific guidelines for GDPR. Data Protection Officer (DPO) Government and companies face talent acquisition shortfalls (for example, see UK’s Information Commissioner’s Office https://eugdpr.com/news/ico-needs-staff-deal-gdpr/). Unlike privacy officers who may have legal backgrounds, DPOs need practitioner’s expertise in IT, compliance and information security to perform tasks such as reporting data locations and usages to country and 3P Partner Data Protection Agencies (DPAs). Data portability This may have arisen from needs of social media and cloud providers, but aligns with benefits from easier access to personal data by owning individual or for minors, parents or guardians. Data breaches Data breaches must be reported to public as soon as possible so that they can take corrective actions. Organizations must report breaches of personal data to EU officials even faster, i.e., not later than 72 hours later. Future data breaches must be reported more rapidly than recent notifications by Yahoo and Equifax, in some cases years after the initial hacks. Consent Must be opt-in and withdrawable at any time. If use of data changes, your organization must get an additional opt-in consent. Interested in learning more? Dear Friends- I rode this year's Bike MS: New York City, and would love your support in my fund-raising efforts! ARMA NJ is supporting MS this month- please join our efforts. When I did my first MS Ride I was a fit cyclist who easily (and speedily) rode the 50 miler. This year I rode a much slower 30 miles in my first ride of the year following a knee injury in April and surgery in August. In the last few months I have come to deeply understand how a body that does not work, fundamentally alters your life. A surgeon was able to fix my knee and a therapist pushed me to recovery. MS cannot be fixed with surgery or therapy. There is no fix-yet... I joyfully and thankfully did my first ride with thousands of others. Help us contribute to the effort to find the fix for MS. Conduct thorough business requirements assessments Performing a thorough business requirements assessment for every IG project is critical. You need to gather key data about project goals; capture current workflow processes used to accomplish those projects; identify cross-departmental interaction; itemize application software utilization; notate all data storage and access points; and determine if external access points/boundaries are required. If you don’t truly understand the daily processes (and/or the frustration associated with those processes) – then you’ll never be able to design an IG policy that will garner firm-wide adoption. If you don’t give users the appropriate technology tools and the correct processes to follow – don't be shocked when they make up their own way of accomplishing their goals – as they just need to get their jobs done! Try applying the ‘magic wand’ approach to the process by asking team members how they would improve the handling of their daily tasks if they were given a magic wand to make it happen. You’ll be surprised by the answers! Align your organization with leading edge technology partners It seems like we’re always drinking from the firehose rather than the water fountain in just trying to stay on top of technology. With so many different technology facets, it’s almost a requirement to align yourself with a proven technology partner who has expertise in supporting the law firm/CLD and can supplement your IT team’s knowledge/subject matter expertise. A legal technology partner will ensure that you’ve been made aware of the latest cyber threats or that you’ve been appropriately addressing regulatory requirements. The leading edge technology partner will also be able to serve as a CIO (chief information officer) and guide you towards more sophisticated tools to streamline your legal technology processes. Many law firms/CLDs subscribe to managed services models that eliminate the software updates/patching processes and routine network maintenance from the role of internal staff to ensure that the organization is always on top of its game. Incorporate ongoing technology initiatives into your yearly budgeting processes After a massive technology overhaul takes place within a law firm or CLD, sometimes a theory surfaces that the technology project was a ‘one and done’ event. While everyone recognizes the need for budget awareness, ignoring the ongoing requirements for technology updates, refreshes and process improvements is what places organizations into risk situations. It would be far easier to spend the monies on the preventative measures using up-to- date technology tools than to scramble on the back end of risk and reputational repair resulting from cyber attacks or data breaches. Keeping up with technology advances is a necessary cost of doing business. Develop a cultural change mindset The IG process (specifically that individual component of information security) can no longer be thought of as simply a ‘back room’ IT function! Every person within the law firm or CLD is using technology to accomplish daily tasks and achieve goals for the team. This means that every person within the organization holds some level of responsibility for the success of that IG process. From the executive level to support staff – everyone needs to understand the impact that their actions have on the overarching IG strategy adopted throughout the organization. Information Governance does not equate to the IT Team but instead to the entire team! When you conduct thorough business requirements, then everyone who plays a role in the IG process would have contributed on some level to the design of an IG Strategy. When people feel as if their input has been valued in the decision-making and design process, they’ll more readily adopt an "ownership" approach in supporting the corporate culture technology mindset. Adopt a continued change management and training environment We participate in complex exercises and processes of designing and deploying new application software, unique workflow processes and state-of- the-art technology within our organizations. We then give our people a little bit of training and floor support and throw them out into the brave new world to become productive corporate citizens. Or we give them videos to watch and quick reference guides hoping that they can intuit everything on their own because ‘they’re pretty smart folks that we've hired’. Unfortunately, that’s usually a sure-fire recipe for failure. A successful change management communications process clearly defines what is coming down the pike from a technology perspective and how it will impact the daily routines of everyone within the firm/CLD along with timetables regarding deployment. This process diffuses the fear factor inherent in a looming technology project. Adding clearly defined and organizationally aligned training programs supporting the policies/procedures to be incorporated throughout the firm/CLD eliminates the rogue behavior that occurs when people arbitrarily decide for themselves what the corporate policies might be. If you don’t provide clearly defined technology policies, people will create pathways of their own. Mandate attendance for firm-wide training programs – particularly when it comes to security based training. Allowing exemptions - particularly for security related training - is the same as opening a door into your network. Inevitably, it is going to be the uneducated user who makes the critical mistake when it comes to the cybersecurity/breach scenario. While many law firms/CLDs have been busy reacting to the recent cybersecurity headlines, those who have been diligently working on developing their multi-pronged IG strategy should have survived this latest technology debacle without having lost too much sleep. If you don’t have an IG strategy in place and you’ve been spared in this recent round of cybersecurity crisis management, consider yourself forewarned and very fortunate. Get moving on developing that action plan item sooner rather than later! Ann Gorr is a legal technology consultant, information governance strategist, subject matter expert and avid technology evangelist. She is recognized for the development and execution of innovative legal IT strategies for her small-to- mid sized law firm and corporate legal clients in the information governance/enterprise content management and compliance arenas.
Five essential information governance tenets that can mitigate costly risks
The WannaCry ransomware attack has led to a renewed focus on cybersecurity. Consultant Ann Gorr says that by incorporating five basic tenets into their information governancestrategy and design approach, law firms and corporate legal departments can take a more preventative stance and work towards minimizing risks.
Recent high alert bulletins about preventative measures regarding avoiding or recovering from the WannaCry ransomware cyber attack highlight the continuing fall-downs existing within the information governance (IG) strategies (or the lack thereof) employed within many law firms and corporate legal departments (CLDs). In the current legal landscape, there are ongoing efforts to scale back and incorporate ‘bare bones’ budgets, which often trickle down to cutting corners on some IG project initiatives. Instead of developing overarching and cohesive IG plans, sometimes the focus highlights the dollars or short-term gains instead of protecting the keys to the castle. That short-sighted vision ultimately comes back to haunt people. In 2016, Ponemon Institute said the average cost of a cyber breach to an organization was approximately $4M. Any responsible law firm or legal department should invest in an enterprise-wide IG strategy to identify and mitigate risk before their name appears ‘above the fold’ in a major news publication. Law firms and corporate legal departments in the small to mid-size business (SMB) space often struggle with technology adoption due to constraints with budgets, IT personnel and the limited availability of technology tools. Negotiation is key when educating partners, general counsels or enterprise committees who may not comprehend the need to upgrade to more sophisticated technology platforms with a focus on legal technology tools. Yet, as the headlines prove, this scenario isn’t restricted only to SMB law firms and corporate legal departments. No one within an organization intentionally sets out to place their team in a risk situation. The fallout occurs usually because the risk factors weren’t clearly defined to all parties involved as to what the ultimate outcome could be if all of the risk components dovetailed to create that ‘perfect storm’ moment. Security/cybersecurity - while critically important - is really only one spoke on that IG strategy wheel (regardless of which IG authority you are following as a roadmap). Risk awareness should always be a primary consideration in all IG planning exercises. You can’t be singularly focused on only one spoke of the wheel and ignore other aspects of the IG strategy process. While it is difficult to be 100% prepared for the ‘perfect storm’ scenario, by incorporating five basic tenets in your IG strategy and design approach, you can take a more preventative stance and work towards minimizing risk for your firm or CLD.

Being a leader is more than just reading about it in a book. Like other skills, leadership is a skill that needs to be practiced. ARMA chapters are the perfect place for members to practice and develop their leadership skills. On June 15th and 16th, ARMA NJ board members will join over 50 other board members from 2 regions for an ARMA International Leadership conference at Princeton University. The Northeast region will convene with the Mid Atlantic which allows for a greater number of chapters and members to network and to learn together as well as from each other. The conference will kick off with introductions and presentations from ARMA International's staff and President Jocelyn Gunther. They will share changes and improvements to the organization as well as tools and resources they provide that allow board members to better serve chapter membership. During the course of the conference there will be a number of structured, breakout sessions for attendees to share best practices, pain points and collaborate with one another. Utilizing a roundtable approach, participants will have the opportunity to address questions about chapter operations, membership, and programing, to name just a few topics. We always learn lots of new ideas from fellow chapter officers, get answers to questions, as well as identify new ideas we never considered. This is a tremendous opportunity not only for the Chapter Leadership but all Chapter members since it provides a great opportunity to connect with ARMA HQ, provide feedback and recommendations. Many attendees leave these conferences not only informed but with new ideas to take back to each chapter and make improvements for our members. These conferences are open to all ARMA members. Ray Davis, President of ARMA's AIEF organization awarded ARMA NJ member, Torrey King with a LA ARMA Nostra Grant at the ARMA International Conference. Torey was one of six participants to receive the grant and had the following to say. The Institute of Certified Records Managers (ICRM) announced the availability of six La ARMA Nostra scholarships administered through the ARMA International Educational Foundation (AIEF). The funding for these awards is an endowment established in partnership with the AIEF through the collective efforts of La ARMA Nostra members to which all active ICRM Board members and other records professionals (many of whom are CRMs) donate annually. These awards were: Presented in remembrance of Jeffrey Baldwin, CRM; and three will be presented in remembrance of Komal Gulich, CRM, IGP. Jeffrey and Komal, long-time champions of the RIM/IG profession and the CRM certification, passed away from cancer in 2014. A one-time award of $500 each for individuals who have successfully completed or are actively pursuing their Certified Records Manager (CRM) certification, Information Governance Professional (IGP) certification, or other related records and information management (RIM)/ information governance (IG) certification. Available to individuals in all geographic locations; however, weight was given to applicants from ARMA's Great Lakes Region. Available to anyone who is actively pursuing or has obtained a professional RIM certification; however, weight was given to those obtaining/pursuing their CRM over other certifications. Applications were submitted for the successful completion of any part (e.g., CRM Part I has been passed successfully) so long as the applicant is still actively pursuing the designation, is in good standing and achieved completion of part or all of the certification that occurred after January 1, 2015. Eight applications were received for the six available reimbursement awards. The La ARMA Nostra RIM/IG Certification Reimbursement Awards were selected and presented to the recipients prior to the ARMA Conference. Marc Foner is the Manager at Digital Memory Media (DMM), a Division of Innovative Document Imaging (IDI) in East Brunswick. He is responsible for managing DMM, including client retention and developing new business in vertical markets. Marc has been a member of ARMA and ARMA NNJ since 2016. He credits his position with DMM, to the connections he has made in ARMA. Marc has a diverse background in the profit and non-profit sectors including IT, finance, hospitality, tourism and broadcast television. He earned a BS in Mass Communications with a concentration in film and television production from Emerson College in Boston, MA. He is also a licensed NYC Tour Guide.

Domingo currently manages the Record Retention Department for a mid-size financial institution. He holds a BS from SUNY Old Westbury. Having worked in the industry for over 12 years, he has developed efficiencies and cost savings through consolidation, streamlining and communication that has allowed growth, without hindrance. He continues to develop processes for the institution, including introduction to cloud systems, which eventually reduces cost. He is dedicated Information professional, that enjoys assisting others.

In his current role, Carl is the Director of Account Management for GRM Information Management Services. Since joining the company in 2008, he has assisted GRM's clients with complex RIM issues including risk mitigation, inventory and cost control as well as retention, corporate governance and compliance. He holds a BA from the William Paterson University in Wayne, NJ and is actively pursuing his CRM certification.

Join us on April 18th at Celgene in Summit NJ for an educational workshop focused on creating records retention schedules. The Retention Program Development Workshop is an ARMA Certificate course for developing a records retention schedule or revising an existing one. A detailed methodology is presented in 10 steps to help participants learn to schedule both analog and electronic records using project management techniques. The program utilizes a case study to illustrate learning pointsand includes sample forms and concrete illustrations.

Chapter Library Studying for the CRM or IGP? Working on a project and need some help catching up on RIM fundamentals? ARMA NJ has one of the largest Records Management libraries out of all the ARMA chapters is growing every year. Currently housed at the Celgene corporation in Summit and managed by past chapter President Lori Green, over 150 RIM related books, periodicals and other resources are available to borrow at no cost to our members. CRM candidates will find a large number of helpful info for their studies. To check out our holdings and place a request, visit our website library page. Volunteers Needed We LOVE our volunteers. We are grateful for everyone who helps us. However, we are always in need of people to help us throughout the year with various events and initiatives. The Chapter maintains a number of “standing” committees and participation is open to everyone. If you’re interested in getting your toe wet – that is just getting a little involved – a committee volunteer is the way to go. ARMA NJ Gives Back Beginning in 2015, our chapter began collecting donations for a number of local charities and organizations. Past chapter meeting and events included details on what we were collecting to be donated to local food banks, shelters, military family support groups and clothing drives. Going forward we will collect nonperishable food items, school supplies and gently used professional clothing so please consider us before you clean out pantries and closets. If you have a special charity you'd like us to consider just let us know.
The ARMA NJ Chapter Library is a value added resource that is available to all current chapter members. The available publications extend beyond basic reference to materials essential to the professional development of our members in their records and information management functions. It is our understanding that ARMA NJ Chapter has one of the largest libraries within the ARMA Northeast Region. The publications in our library are helpful to CRM candidates, RIM professionals regardless of company size and anyone who has a need for more information about the RIM profession. Our collection grows through purchases funded by the chapter and by donations.

More than 1,100 individuals including representatives from exhibiting companies participated in the 2017 ARMA Live Conference held October 15-17 in sunny Orlando FL. A number of NJ chapter members attended and participated in the numerous educational sessions, discussions, networking events and vendors exhibits. Keynote speaker and founder of DataKind Jake Porway led an eye opening talk on his vision and steps to creating a world where every organization has access to data capacity to better serve humanity. ARMA offered some excellent educational sessions including a number of formats that ensure the conference education met attendees' learning objectives. Social and networking events held during the conference provided attendees with some fun, relaxed settings to meet peers. One of the new events included a regional exhibit and mixer for chapters from each region to showcase and share photos and information with one another. It was a busy couple days but attendees left with a great experience.
