One such problem is the loss of organizational memory (the knowledge and information from the organization's past which can be accessed and used for present and future organizational activities). As long‐tenured staffs begin to leave, they take with them their knowledge, skills, and other valuable job‐related information – components of the organization's memory that may become inaccessible to the organization. Additionally, this loss may disrupt organizational memory systems as these components are part of organizational knowledge that may bedispersed across actors, systems, and interactions in organizations. Organizational leaders are realizing that more of what is valuable about how to do the work resides in people's heads.

The initiative started in year 2014, with compilation of more than 300,000 photos from all the event conducted in UTP from year 1997. In UTP, corporate memory collection covers all the materials that stored information and knowledge such as document (agreement, correspondences, text, speech, memo, and etc.), photo, video, audio, cartographic materials (maps, building and floor plan), and also experiences from experts. The continuous development of new knowledge are based on creative ideas, daily experiences by peoples, analysis of failures and activities in research and development (R&D). It is tremendously contributing to the survival of many successful companies in the world. Small piece of knowledge and information that contributes to the performance of an organization can be stored in “corporate memory”. Corporate memory defined as an explicit, persistent representation of the knowledge and information in the organization. Knowledge and experience in the minds of workers in the organization also considered as part of corporate memory.

KM@UTP Issue #3, (Jul – Sept) 2018, captured the current trend of managing organizational knowledge through retention of corporate memory (CM). They look at how the organization's history can influence current decision making. They shared understandings evolve, becoming part of an organizational whole which may remain constant even after key individuals have left the firm. UTP Corporate Memory initiative started in year 2014, had changed the university’s knowledge retention practices from individual oriented (people keeping all corporate memory items in their own storage) to centralized storage.

Born in Kampar in 1937, he grew up in a time of war and conflict in Malaya experiencing the Japanese Occupation, followed by the communist insurgency. Through the eyes of a young child, we get an emotive yet objective account of what it was like to live through a time of danger and uncertainty having to hide from the Japanese by fleeing into the jungles of Perak, and coming face to face with Japanese soldiers who had threatened to cut his father down. I, KKK is a beautiful and perceptive study of the author’s life. Khoo has a natural gift for storytelling, despite his private disposition, casting a light on the lives of ordinary Malaysians living during the country’s most fascinating times. The book does not try to make strong judgments on the history of our country, but teaches us a great deal about who we are as a nation through the day-to-day characters and events that the book honors. The imagery in the book is rich, allowing the reader to ponder their own lives as ordinary Malaysians, and compare it to the past. That itself is a lesson on its own, one that is not felt in text books and classes today.

The memoirs of Professor Emeritus Tan Sri Dr Khoo Kay Kim are a tale of growing up during the most exciting times of Malaysia’s recent history. Set against the backdrop of Malaysia’s own coming of age, Professor Khoo Kay Kim recounts his early childhood spent in Kampar, Teluk Anson and Ipoh, his time as an undergraduate on the Singapore campus of the University of Malaya and his career in post-independence Kuala Lumpur. ..
Professor Emeritus Tan Sri Dr Khoo Kay Kim is among the most esteemed local historians of our time. To many, he is Malaysia’s historian, representing the height of the country’s academic excellence and intellectual curiosity. But, before he wrote his memoirs, little was known about the man beyond his academic achievements and his illustrious career.
The book’s most revealing stories are about his love for his wife, Rathimalar, and his relationships with his three sons. While Khoo’s Peranakan parents readily accepted the relationship, the young couple had to bide their time to win over his proud Tamil father-in-law, who later became a close confidante. Khoo’s marriage with Rathi extended his cultural world further, allowing him to embrace his new family, their history and unique nuances, as well as Malaysia for its role in bringing together vast cultures and histories, and with it, true love. The book takes us on a probing journey through the history of his family. Starting with the oral histories of Khoo’s Peranakan grandmother, we learn of their family’s Straits Chinese origins and then get a glimpse of the rich colors of his multicultural upbringing across Perak.

Search Doesn’t Understand People
3 - The current user doesn’t have access to the intended document As I’ve mentioned above, the SharePoint (and Office 365) search engine provides security trimmed results from the index. This means, only those items will be returned to which the current user has at least read access. If the user cannot open/read the document in the source system (SharePoint site, file share, etc.), the document will not be returned as a result. 4 - There is some filter which removes the intended documents from the current result set There is one more step where displaying results can go “wrong”. Result Sources, Query Rules, on-page filters, etc. all have effect on what’s being returned as search results. Please keep in mind that while being able to use these features’ filtering capabilities, those can be also confusing if not communicated to the users.
Today, in the age of “modern”, “personalized” and “intelligent” search applications, sometimes it’s still hard to find the content what we’re searching for. “I cannot find the document I am searching for!” – is still one of the most common complaint. Why? If the intended document cannot be found by search, that’s definitely a very confusing and annoying experience. Users want to understand what’s going on. Here is some help – to help them. If a specific document doesn’t appear in the search results, one of the followings might be the reason: The document does not exist. The document does exist but not indexed by search. The document is in the search index but the current user doesn’t have access to see it. The document is in the search index and the current user does have access to it, but some filter applies which removes the document from the results. The query is incorrect.
Let’s see each case in more details. 1 - The document does not exist The reason is obvious: if the document does not exist it cannot be displayed as a search result. In many cases, this is the first thing what the users think if the intended document is not displayed as a search result – and they create it (again) or ask someone to create it (again). But in this post you’ll see this is not the only, furthermore not the most common reason! – As a result, organizations have more and more content duplicates. 2 - The document does exist but is not indexed by search Search results come from the search index. Another common issue is when you have metadata about the content, but it’s bad and inconsistent. This might happen for several reasons: When a user enters a query, first it goes to the Query Processor component which transforms it, and asks the Search Index for results. The Index component gives back the according, security trimmed results (see reason #3 below) which the Query Processor transforms and displays to the user.
